1. What we collect when you apply
When you apply for an independent broker position at norcrestins.com, we collect:
- Name, email address, and phone number
- City and state of residence
- Resume file and licensing information you provide
- Your responses to screening questions
2. What we collect once you're hired — onboarding & contracting
If you accept a position, we send you a separate onboarding link to collect the additional information carriers require to run your appointments:
- Your full home address (street, city, state, ZIP)
- Date of birth
- National Producer Number (NPN)
- Your resident state license and any non-resident state licenses you hold
- Your AHIP certification status and Errors & Omissions (E&O) insurance status
- Your prior appointment history with specific carriers (Aetna, Anthem/Elevance, Wellcare, Zing, UHC, Cigna/Healthspring, HCSC, Devoted, and Humana) — i.e., whether you've previously been released, terminated, or never contracted with each
- Your Social Security Number (SSN) — see Section 4 below for exactly how this is protected and used
This information is used only to submit your carrier appointment paperwork and set up your producer record with Norcrest. It is not used for any marketing purpose.
3. SMS messaging — opt-in and opt-out
By providing your phone number on the application form, you consent to receive interview-related SMS messages from Norcrest Insurance. Messages may include interview confirmations, 24-hour and 2-hour reminders before scheduled interviews, scheduling change notifications, and follow-ups after missed interviews.
Message frequency varies based on your stage in the hiring process — typically 1–4 messages per interview. Message and data rates may apply.
To opt out of SMS messages at any time, reply STOP to any message you receive — or otherwise clearly tell us, in any reasonable way, that you want automated texts to stop (for example, replying "cancel" or "unsubscribe," or telling your recruiter directly). You will no longer receive SMS messages from us. Reply HELP for help.
We will not sell your mobile phone number or other personal information to third parties. We do not share your mobile phone number with third parties for their marketing purposes. SMS opt-in consent is not shared with third parties or affiliates for marketing.
4. How we protect and use your Social Security Number
Norcrest Insurance treats your Social Security number and other sensitive onboarding information as confidential personal information and maintains administrative, technical, and organizational safeguards designed to protect it. Specifically:
- At rest, your SSN is encrypted in our database using AES-256 authenticated encryption and is not intentionally stored in plaintext in our production database.
- Access is restricted to authorized Norcrest staff who must take a deliberate, logged action to view it, inside our internal Agents application — it is not visible on any screen by default and it is not routinely emailed or shared outside that system.
- It is shared with the insurance carriers listed in Section 2 because they require it to process your appointment — this is a required, unavoidable part of how carrier appointments work industry-wide, not something Norcrest chooses to do with your information beyond that purpose.
- We do not use your SSN for credit checks, background checks unrelated to licensing, or any purpose other than carrier appointment and identity verification.
5. Who we share information with
We share your information only with our internal hiring/contracting team, the insurance carriers named in Section 2 (for onboarded agents only), and the third-party service providers required to operate this site:
- Brevo — to send transactional emails
- Twilio — to send SMS interview reminders
- Calendly — to schedule your interview
- Zoom — to host your interview
- DocuSeal — to present and collect your signature on your Producer Agreement
- Railway / PostgreSQL — to securely store your application and onboarding data
- Discord — a brief internal notification is posted to our team when your onboarding packet is complete. This notification never includes your SSN, date of birth, or home address.
We do not sell your personal information to any third party.
6. How long we keep your information
If you are not hired, your application is marked archived 7 days after rejection and heavier data tied to it — your resume file, assessment responses, and assessment audio — is deleted from our active database. Your name and contact information remain on file in archived form (not shown in the active hiring pipeline) for internal recordkeeping, fraud-prevention, and dispute-resolution purposes, except where we're required to retain more for legal or compliance reasons. Residual copies may also remain temporarily in secure backups and in the third-party providers listed in Section 5 (e.g. email, SMS, scheduling), following each provider's own retention practices, until overwritten by normal backup cycles. If you are hired, your application and onboarding data (including your encrypted SSN) is retained as part of your producer record for as long as required by applicable insurance regulations and carrier record-keeping requirements, and for a reasonable period after that relationship ends as required by law.
7. Your rights
You may request a copy of your data, request deletion of your data (where we are not required to retain it by law or carrier requirements), or opt out of further communications by emailing us at the contact below.
